What is interlibrary loan?

Interlibrary loan is a campus based service provided for our faculty, staff, and students which allows you the capability to obtain some material (s) not available in the Levi Watkins Learning Center as a loan from another institution. It is important to note that not ALL material you may want to request is eligible for interlibrary loan and some items require payment to obtain.   Rare books, books with publication years within the last five years, books older than 50 years and limited edition titles are a few of the items we are unable to obtain

Who can use it?

Current faculty, staff, students and graduate students of Alabama State University may use interlibrary loan to enhance course-related assignments and/or research projects.  Patrons using Interlibrary loan accept responsibility for the use of the borrowed item(s), this includes physical appearance of books or audio visual material, returning material within the loan period and any or all damages incurred while in their possession. There is no requirement for return of periodical articles; however, reproduced documents are subject to copyright laws.  Lost and/or damage fees as well as overdue fees are established by the lending institution and not negotiable by the borrower.

Where is it located?

The interlibrary loan pick-up and drop-off is located at the LWLC’s first floor Information Desk.  A current, valid ASU ID card is required to pick up ILL materials.  Please DO NOT place Interlibrary loan materials in the book drop!  All interlibrary  loan materials must be returned to the Information Desk.  If an item is lost before being received back by the Interlibrary Loan staff, YOU, the patron will be responsible for paying the total cost of the book including processing fees as established by the lending institution.

How do I use interlibrary loan?

You may submit an interlibrary loan request for a book loan or periodical copy using the online request form link which is found within the Worldcat Discovery search tool from the library’s homepage (www.lib.alasu.edu). Under the heading Libraries Worldwide click Request Item Through Interlibrary Loan.  Once the request has been received, it will be processed by the Interlibrary Loan staff.  Material owned by ASU and housed in a non-circulating collection WILL NOT be requested for loan.  For the most effective results in using the interlibrary loan service, place your request(s) at least 15-30 days before you actually need the material.  Requests are typically generated using a five library lending string and could take upwards of 25 days to be received.  Rush requests (Needed in one to two days from submitting) are submitted using the lending institution’s policy for RUSH and incurs a fee set by that institution.  You are encouraged to contact the faculty liaison to your department for questions you may have about completing the form online.  Paper request forms are available at the first floor Information Desk and must be completed in its entirety before being processed.  Requests emailed or left as voice messages to the interlibrary loan office phone or interlibrary loan staff office phones WILL NOT be processed.  In the instance that a loan request incurs a fee to obtain, you will be notified, and only upon your consent will that loan be processed.  Fees for interlibrary loan materials are not part of the fees accessed to students on their student account, nor are they absorbed into departmental budgets for faculty or staff. They are out of pocket expenses that will be the total responsibility of the borrower.  As often as possible, requests are submitted to non-charging institutions and can be filled at no charge to you.

Borrower Understanding

  • Not all requests submitted can be filled.  If you request an item that cannot be provided, you will be notified. If you have additional questions concerning an unfilled request, an interlibrary loan staff member will consult with you on any possible resolutions to finding the item you’re looking for.
  • The lending institution determines the length of time material can be loaned.
  • Some institutions DO NOT allow for renewal of material.
  • A renewal request for an interlibrary loan item eligible for renewal must be submitted 10 days before the listed date due.   If the renewal request is denied, you will be instructed to return the material on the specified date due or risk late fee charges.
  • Failure to comply with any/all of the policies for use of interlibrary loan will make you subject to suspension of use of the service with a possible total ban.
  • YOU are responsible for Interlibrary loan material until such time it is returned to the Information Desk.  Lost or damaged material in your possession must be reconciled by you.
  • All interlibrary loan requests processed through the interlibrary loan department at Alabama State University will be done so using the WorldShare interface. Any requests facilitated outside of that become the individual user’s responsibility for procurement, shipping costs, as well return costs and will not be considered a transaction of the ASU interlibrary loan department.
  • When an interlibrary loan item becomes available for your use, you will be notified.  Failure to pick up an item when notified diminishes the amount of time it is available for your use.  Picking an item up late will not change the date the item is due back.
  • Undergraduate interlibrary loan users, please note the cut off for requesting a book loan is four weeks prior to the end of the current semester.  Periodical article request may be submitted with no interruption.
  • Interlibrary loan services are suspended during the spring holidays and winter recess with intermittent closures for other officially recognized holidays by ASU.

The copyright law of the United States (title 17, United States Code) governs the making of photocopies or other reproductions of copyrighted material.

Under certain conditions specified in the law, libraries and archives are authorized to furnish a photocopy or other reproduction. One of these specific conditions is that the photocopy or reproduction is not to be “used for any purpose other than private study, scholarship, or research.” If a user makes a request for, or later uses, a photocopy or reproduction for purposes in excess of “fair use,” that user may be liable for copyright infringement.

This institution reserves the right to refuse to accept a copying order if, in its judgment, fulfillment of the order would involve violation of copyright law.
